Terms and Conditions

1. Contribution: Contribution for five days is 10,000 INR per person including 2% payment gateway fees (non-refundable but transferable).
2. Confirmation Mail: A confirmation mail from RKY will be sent on your registered email ID within two business days. If not received, mail us at info@rajasthankabiryatra.org
3. Inclusion:
• Lodging (Please note that during the Yatra, we provide basic accommodations in large dormitories at community halls, temples, or schools. Mattresses, sheets, blankets, and pillows will be provided.)
• Food (simple and basic)
• Travel (by buses)
• Emergency Medical Assistance & First Aid
(Above mentioned facilities are covered from 2nd October until the morning of  7th October.)
4. Exclusions:
• Anything not listed in the inclusions is not covered.
• Any personal arrangements for lodging in hotels, food from outside, or travel in a private vehicle will not be covered or reimbursed by RKY.
• Expenses for trips or excursions for tourism purposes will not be covered or entertained.
5. Reporting Day: Please report to Bikaner on 2nd October by 10 AM. The exact location will be communicated via email. Lunch will be served from 1 PM to 3 PM on October 2nd. Note that breakfast will not be available on 2nd Oct.
6. Departure Day: You can plan your return journey from Bikaner on 7th October, after breakfast (8 AM to 9 AM). The check-out time is 9 AM.
7. Kids’ Registration: Registration is free for kids up to 12 years of age. If you’re bringing your kids to the yatra, please indicate the number of children and their names on the registration form. Kids must be accompanied by their parents at all times.
8. Pet policy: Pets are not allowed in the yatra.
9. Amenities During the Yatra: Since the Yatra is a community-driven festival, the villagers will be arranging our stay and food. Please note that the accommodations and meals will be very basic. We will be staying in large community halls, dormitories, or schools with mattresses on the floor, pillows, and blankets. Common washroom areas will be available, and separate lodging will be provided for males and females. Please note that we cannot guarantee the availability of western toilets at the accommodation, as we will be staying in villages.
10. Bringing Your Private Vehicle: As we journey together from one village to another, we provide buses for transportation. You can also bring your own private cars/caravans and follow our buses during the yatra.
11. Joining Mid-Yatra: We shall be traveling by bus from Bikaner to the villages. However, if you are joining in the middle of the Yatra, you would have to reach the respective village on your own. (Final schedule will be communicated via Email)
12. General Instructions:
• We request you not to carry any valuables or excessive cash during Yatra. In case of any mishappening, organizers will not be responsible.
• Please don’t displace people’s bedding/places that they have blocked to sleep.
• Leave no trace i.e. please make sure your trash makes it to the bin.
• Please do not prepone/extend your stay without checking with us, as all food, accommodation and transport facilities are accounted for.
13. Dressing Guidelines: Yatra food and stay are co-sponsored by the host village’s communities and we highly respect their willingness to host us. As we will be staying in places like community halls, schools and temples, we request you to kindly avoid wearing short or sleeveless clothes to avoid hurting the sentiments of local villagers. Public display of affection is prohibited.
14. Privacy Policy: By purchasing a ticket and attending the festival, you consent to the collection and use of your information as outlined in this policy. We gather personal identification details such as your name, email address, phone number, age, gender, contact information, and government-issued ID number during registration. This data is essential for efficiently managing registrations, verification, statistical analysis, service customization, and sending festival-related updates.
• We may share your information with third-party service providers to help operate the Yatra. These parties are obligated to keep your information confidential and not use it for any other purposes.
• We may disclose your information if legally required or in response to valid requests by public authorities.
• You have the right to access the personal information we hold about you and request corrections, deletions, or modifications.
• We are dedicated to keeping your information secure. We have implemented appropriate physical, electronic, and managerial measures to protect and secure the information we collect.
15. Photography & Videography Policy: Only RKY has the exclusive right to professionally document the festival. Professional and semi-professional photography or videography using flashy cameras is strictly prohibited during the yatra. Additionally, attendees are not allowed to use tripods or camera stands that may obstruct the stage view.
16. Media Consent: By registering and paying for the yatra, you acknowledge that you may be filmed or photographed by our official photographers. The resulting footage or images may be used in future promotional materials. By participating, you grant us permission to use such footage and images.
17. Refund policy: The contribution you pay for the yatra is non-refundable. However, refunds may be considered under specific circumstances:
• If the yatra is entirely canceled due to events beyond our control (e.g., natural disasters, severe weather, or government regulations), yatris will be offered a choice between a full refund or credit for future yatra, retreat or workshop programs organized by us. Note that if such adverse conditions occur after September 15th, only 50% of the total contribution will be refundable.
• If the yatra is postponed, registrations will remain valid for the new date. Yatris who cannot attend the rescheduled yatra may be eligible for a refund at the discretion of the yatra organizers.- The yatra reserves the right to modify this refund and credit policy at any time without prior notice. Any changes will be communicated through our official channels.
